Who we are

Undisputed Site Services Limited ("we", "us") is the data controller of the personal information described in this notice. We are registered in England and Wales, company number 17356878, with our registered office at First Floor, Swan Buildings, 20 Swan Street, Manchester M4 5JW. The information we collect

When you request a quote, place an order or contact us, we collect the information you give us: your name, company, phone number, email address, the site address or postcode, and details of the job. If you become a customer we also hold billing information, order history and records of our correspondence with you. Our website collects the technical information a web server needs to deliver pages securely, such as IP address in server logs. Where you submit a credit account application we also record the IP address and browser the application was sent from, as a record of the declarations you accepted. Where you reach us by clicking an advertisement, the enquiry also carries the advertising identifiers in the link you arrived on, such as a Google click identifier and campaign parameters, together with the page you submitted from, so we can tell which advertising is worth running. These are read from the web address only, they are not stored on your device, and they are held with your enquiry. See our Cookies notice for details of cookies.

Why we use it, and our lawful bases

We use your information to: prepare and send you quotes and carry out the services you order (lawful basis: performance of a contract, or steps taken at your request before entering one); arrange delivery and collection with the suppliers who fulfil your job (performance of a contract); invoice you and keep accounting records (legal obligation); create and keep waste documentation such as waste transfer notes and hazardous waste consignment notes (legal obligation); respond to enquiries and maintain our business records (our legitimate interests in running and improving the business); and, occasionally, tell existing trade customers about services relevant to them (legitimate interests, and you can object or opt out at any time, with every message including a way to do so).

Where we rely on legitimate interests, we have balanced those interests against your rights and will not use your information where the impact on you outweighs our interest. You have the right to object at any time. See "Your rights" below.

Who we share it with

To deliver your job we share only what the supplier needs, typically the site address, access details and an on-site contact, with the licensed carrier or supplier fulfilling it. We also use trusted service providers for things like IT, email and accounting, who process data only on our instructions. We may share information where the law requires it, for example with the Environment Agency or HMRC, or with our professional advisers. We do not sell your personal information to anyone.

How long we keep it

Quote requests and enquiries that don't become orders are kept for up to two years, then deleted. Customer, order and invoicing records are kept for six years after the end of the financial year they relate to, as required for tax purposes. Waste transfer notes are kept for at least two years and hazardous waste consignment notes for at least three years, as environmental law requires.

Where it's stored

We store your information within the UK. If any of our service providers process data outside the UK, we make sure appropriate safeguards recognised by UK law (such as the UK's international data transfer agreement) are in place.

Your rights

You have the right to ask for a copy of the personal information we hold about you (a subject access request); to have inaccurate information corrected; to have your information erased where there is no good reason for us to keep it; to restrict how we use it; to receive the information you gave us in a portable format; and to object at any time to processing based on our legitimate interests, including any direct marketing. If you object to marketing, we will stop. Where we rely on your consent for anything, you can withdraw it at any time. To exercise any of these rights, contact us using the details above. We will respond within one month, and exercising your rights costs nothing.

If you're unhappy with how we've handled your information, please contact us first and we'll do our best to put it right.
